🚨 Zero Tolerance Policy

Syntr enforces a zero-tolerance policy for spam, abuse, and violations of email marketing laws. Violations may result in immediate account suspension or termination without refund.

This policy is critical for maintaining email deliverability and protecting our platform reputation. All users must comply with this policy and applicable email marketing laws.

1. Prohibited Activities

Syntr enforces zero tolerance for the following activities:

❌ Purchased Email Lists

  • Prohibited: Using purchased, rented, or scraped email lists
  • Required: Only send to recipients who have explicitly consented to receive emails from you
  • Double opt-in is strongly recommended for marketing emails

❌ Cold Outreach Without Consent

  • Prohibited: Sending unsolicited bulk emails (spam)
  • Required: Recipients must have opted in or have an existing business relationship
  • Transactional emails (order confirmations, password resets) are allowed without explicit consent

❌ High Spam Complaint Rates

  • Threshold: Spam complaint rate above 0.1% (1 complaint per 1,000 emails)
  • We monitor spam complaint rates and will suspend sending if thresholds are exceeded
  • Repeated violations may result in permanent account termination

❌ Phishing or Impersonation

  • Prohibited: Phishing emails, impersonation, or deceptive practices
  • Prohibited: Misleading sender information or "from" addresses
  • Violations will result in immediate account termination and may be reported to authorities

❌ High Bounce Rates

  • Threshold: Hard bounce rate above 5%
  • High bounce rates indicate poor list quality or purchased lists
  • We will suspend sending until list quality is improved

2. Required Email Compliance

To use Syntr, you must comply with the following requirements:

✅ Unsubscribe Links (Mandatory)

  • All marketing emails must include a clear, working unsubscribe link
  • Unsubscribe requests must be processed within 10 business days
  • Transactional emails (order confirmations, receipts) do not require unsubscribe links

✅ Sender Authentication (Required)

  • SPF, DKIM, and DMARC records must be properly configured
  • We provide setup instructions, but you are responsible for configuration
  • Without proper authentication, emails will be rejected or sent to spam

✅ Accurate Sender Information

  • From name and email must accurately identify the sender
  • Include physical mailing address in marketing emails (required by CAN-SPAM)
  • Do not use misleading subject lines or deceptive content

3. Enforcement Actions

We reserve the right to take the following actions for violations:

  • Suspend sending immediately: Temporary suspension of email sending capabilities
  • Disable domains/IPs: Block specific sending domains or IP addresses
  • Terminate account: Permanent account termination for serious violations
  • Share abuse data: Report violations to ESPs, ISPs, or legal authorities if legally required
  • No refunds: Abuse-related terminations are not eligible for refunds

4. Monitoring & Detection

We actively monitor for abuse using:

  • Bounce rate monitoring: Automatic detection of high bounce rates
  • Spam complaint tracking: Real-time monitoring of spam complaint rates
  • Automated sending suspension: Automatic suspension when thresholds are exceeded
  • Manual review: Our team reviews suspicious activity and user reports

5. Best Practices

To maintain good sender reputation and avoid violations:

  • Use double opt-in for marketing email lists
  • Maintain clean email lists and remove invalid addresses regularly
  • Send relevant, valuable content to engaged subscribers
  • Monitor engagement metrics and remove inactive subscribers
  • Configure SPF, DKIM, and DMARC properly
  • Respect unsubscribe requests immediately

6. Reporting Abuse

If you believe someone is using Syntr to send spam or abuse emails, report it to:

  • Full email headers of the abusive email
  • Date and time received
  • Description of the violation
